Build a practical routine from load information to invoices, settlements, receipts and reporting. Configure the agreed systems around your operation and give your team a documented way to use them.
Start with your existing software, team and workflow. The project quote identifies the configuration, data, users, training, subscriptions and follow-up covered.
TMS selection and configuration
Review how loads, customer and carrier records, documents, invoices and settlements move through your operation. Where selection is part of the project, compare the systems against those needs. Configuration covers the agreed operation and features supported by the selected software.
QuickBooks setup and records
Set up the agreed chart of accounts and opening data, then define receipt capture, expense categorization, invoicing and settlement routines. Truck-level reporting is included only where the selected software and available records support it.
A working handoff for your team
Walk a sample load through the invoice and settlement process, check for duplicate entries and document exceptions. Provide the agreed staff training, user-access list and workflow guide. A defined follow-up period gives the team a place to raise setup questions.
WHAT YOU RECEIVE
Your handoff.
Receive the agreed configuration, access list, workflow guide, sample-process results, training and outstanding-items list. The written quote states what counts as completion and separates software charges, historical cleanup and additional development from the setup fee.
What to bring
Tell us which TMS and accounting products you use, how many users need access, where receipts and load documents live, how invoices and settlements are prepared, and what reports you need. Identify the handoffs that currently require retyping or manual corrections.
Describe the operation in the inquiry form. Account credentials, driver records, bank statements and other sensitive files belong in the secure exchange agreed during onboarding.
STRAIGHT ANSWERS
Before we start.
Will my TMS automatically connect to QuickBooks?
That depends on the specific products, editions and supported integrations. The scope identifies whether the workflow uses an available integration, an export and import process or a reviewed manual handoff. A direct connection is not assumed.
Are the software subscriptions included?
Subscriptions and third-party services are itemized separately. You retain ownership of the accounts. Our project fee covers the configuration and handoff work described in your quote.
Does setup include ongoing bookkeeping?
No, unless it is expressly included in the engagement. Ongoing receipt processing, reconciliations and monthly reporting are available as separately scoped bookkeeping or back office services.
Can you fix an existing setup?
We can start with a review of the current workflow and records, then scope the corrections. Data cleanup, migration, unsupported features and custom development must be assessed before we promise delivery.
