You bring the trucking plans. We help untangle the setup, systems, receipts, and follow-up. From your first truck to a defined project for a large fleet, get a written scope and price before paid work starts.
Setup projects receive a fixed quote. Ongoing work receives a monthly scope based on trucks, drivers, transactions, accounts, and coverage. Large fleets are scoped by team, terminal, or department.
One-time fixed quote
Authority application support
For a carrier that needs help organizing and completing the registration process.
Operation and registration review
USDOT and operating authority application preparation with your authorization
UCR registration assistance for the agreed year
BOC-3 process-agent and insurance-filing coordination
Copies of submissions, receipts, a status tracker and a written list of remaining activation steps
Your quote identifies our service fee, outside costs, the work included, the entities, trucks, drivers, accounts, transactions and invoices covered, the delivery schedule, and the handoff or monthly reports. Additional work requires an agreed scope change.
Filing and outside costs
Government charges, UCR, process agents, insurance, plates, taxes, drug testing, consortium membership, background reports, and software subscriptions are itemized separately. Where costs are confirmed, they can be included in one written total. Nothing is described as unlimited or all-inclusive without a defined scope.
Your accounts stay yours
Use authorized service-provider access and QuickBooks invitations. Company email setup uses your recovery details and multifactor authentication, with a secure handoff or delegated access. Keep ownership of your email, TMS, bookkeeping, and registration accounts. Financial access is limited to the agreed tasks; payment and transfer authority require separate arrangements. The engagement defines confidentiality, approved recipients, access revocation and record handoff. Do not send passwords or sensitive driver records through the public inquiry form.
Clear responsibilities
We provide administrative and consulting support. Your company official completes required certifications and retains carrier responsibilities. Insurance and BOC-3 filings are coordinated with the appropriate providers. Approval and activation timing are controlled by the agencies. You choose the business structure with legal or tax advice where needed; formation help covers the agreed administrative filings. Legal representation, tax returns, payroll disbursement and payment authority are not included. Part-time support has defined coverage; emergency and after-hours responsibility must be assigned.
Drug and alcohol program needs depend on your operation. Owner-operators subject to CDL testing requirements need the appropriate consortium and Clearinghouse arrangements. Enrollment coordination is not a substitute for testing or an operating compliance program.
WHAT YOU RECEIVE
A clear handoff. A clear monthly routine.
Each engagement identifies the records you supply, the work we perform, the reports you receive, and the decisions that stay with you.
Setup projects
Your handoff includes the agreed application records or system configuration, a documented workflow, training, and an outstanding-items list. The quote states what counts as completion and which subscriptions, filings and provider services are separate.
Recurring support
Agree receipt deadlines, statement access, invoice processing days, reporting dates and review meetings. Bookkeeping is included when specified in a back-office or management package. Your quote shows the total service scope so overlapping work is not charged twice.
Insurance quote coordination
Where permitted and included in your scope, we organize your approved business information, contact licensed agents, follow up on their written quotes, and prepare a factual quote summary with the original proposals attached. You discuss coverage and purchase directly with the licensed agent.
Large fleets are scoped by entity, terminal, department, systems and staffing needs. Driver and financial records are exchanged through the agreed secure channel after onboarding. A written authorization defines access; it does not replace professional licensing requirements.
INSURANCE QUOTE COORDINATION
We do the legwork. You make the call.
Starting a carrier comes with enough phone calls. We help organize the information and keep the quote requests moving. Your licensed agent handles coverage advice and the insurance transaction.
01
Get the facts together.
We gather the business, driver, vehicle, cargo, and operating details approved by you. Written authorization identifies the agents we may contact and the information we may share or receive.
02
Gather the agent’s quotes.
We send the approved information to the agreed licensed agents, request their written quotes, and follow up. Quotes go to your company email, with an authorized copy to us where arranged.
03
Put it all in one place.
You receive the agents’ original proposals, contact details, quoted prices and payment terms as supplied, plus outstanding questions. This is a factual summary, not a policy recommendation or a claim that the quotes provide equivalent coverage.
04
You choose. The agent handles coverage.
Discuss coverage, exclusions, deductibles, terms, and any changes directly with the licensed agent. You make the purchase decision, complete required signatures, and arrange payment. The licensed provider handles binding coverage and required insurance filings.
A little help with the phone tag.
Grit & Ledger provides administrative coordination, not insurance brokerage. We do not recommend policies, advise on coverage, negotiate premiums or policy terms, bind coverage, or settle claims. Availability and scope depend on applicable state requirements and the participating agency’s procedures. The number of agents contacted, follow-up period, and our administrative service fee are agreed in writing; insurance premiums are separate. Quotes and savings are not guaranteed.
Contact permission on the inquiry form is not authorization to release driver or financial records. That authorization and the secure exchange method are arranged during onboarding.
Include your home state, start date, truck and driver counts, cargo, where you run, existing authority, current software, and the work you want taken off your plate. We’ll identify the remaining work and price it.
